Documents you need to rent a home in India

ID, address proof, income evidence, references and photographs: what owners and managers ask tenants for, what changes for students, the self-employed and foreign nationals, and how to share documents safely.

Most rental applications ask for the same handful of documents: proof of who you are, where you live, what you do and how you will pay the rent. Having them ready before your first visit makes you a quicker yes. Knowing how to share them protects you, because a rental file holds enough personal data to be misused. This guide lists what is usually asked for, what changes for students, the self-employed and foreign nationals, how police verification fits in, and how to keep your data safe. Identity, for every adult

Expect to show a government-issued photo ID for every adult who will live in the home, not only for the person whose name goes on the agreement. A passport, a PAN card, a driving licence, a voter ID card or Aadhaar will usually do.

If you use Aadhaar, consider a masked Aadhaar. It shows only the last four digits of your Aadhaar number, and you can download one from UIDAI's myAadhaar portal. Where a copy is needed only to confirm who you are, ask whether a masked copy will do. The Ministry of Electronics and Information Technology advises Aadhaar holders to exercise normal prudence in using and sharing their Aadhaar numbers, which is a sensible rule for every identity document.

Address proof

Owners and managers want a permanent address for you, separate from the home you are renting. Aadhaar or a passport often covers this; a recent utility bill, a bank statement or your previous rental agreement can also show where you have been living.

Work, study and income

The question behind these documents is whether the rent sits comfortably within your income. What you show depends on how you earn.

Salaried. An offer or appointment letter, or a letter from your employer, plus your employee ID and recent salary slips or bank statements. If you have just moved for a new job, the offer letter does most of the work.

Self-employed. Proof of the business, such as a registration certificate, recent income-tax return acknowledgements and bank statements. Expect a few more questions than a salaried applicant would get, and answer them plainly.

Students. An admission letter or a college ID, and usually the details of a parent or guardian who supports the application and may be asked to speak with the owner.

Foreign nationals. Your passport and visa, a letter from your employer or institution and, where your visa requires it, your registration with the Foreigners Regional Registration Office (FRRO). Check with the FRRO whether registration applies to you. Separately, whoever provides accommodation to a foreign national must report the stay to the immigration authorities by filing Form C on the FRRO portal; under the Immigration and Foreigners Act, 2025, this now includes OCI cardholders. That is why the owner or manager will ask for your passport and visa details.

If you claim house rent allowance, ask your employer what proof it needs and keep rent receipts and the agreement ready. References and photographs

A previous landlord can confirm that you paid on time and left the home in good order, and an employer can confirm that you work there. Ask both in advance whether they are happy to be contacted, and give numbers that will be answered.

Keep a few passport-size photographs and digital copies ready for the agreement and any police verification form.

Police verification in Bengaluru

Many owners and managers in Bengaluru ask for tenants to be verified by the local police. It is the police who carry out the verification: the owner, or a manager acting for the owner, submits the tenant's details and identity documents through the local police process and keeps the acknowledgement with the tenancy records. In practice it usually comes down to the identity documents and photographs you have already gathered, plus the details of everyone who will live in the home.

Ask the owner or manager how verification will be done for your home and which police station covers the address. As checked on 5 October 2026, tenant verification was not among the police services the Karnataka State Police lists as available online through the state's Seva Sindhu portal, so be wary of third-party websites or apps that charge to "get it done" online.

Protecting your documents and data

A rental file is a ready-made identity kit, so share it with care.

  • Share copies, never originals, and keep your originals with you.
  • Write the purpose and the date across each copy, for example "For rental application only".
  • Use a masked Aadhaar wherever the full number is not needed.
  • Send documents to the owner or the manager directly, not to an unknown number or a group chat.
  • Never share an OTP, a UPI PIN or a bank password, and never hand over a signed blank cheque.
  • Ask who will see your documents, how they will be stored and when they will be deleted.

The law is moving the same way. India's Digital Personal Data Protection Act, 2023, with its Rules notified in November 2025, sets out plain duties for organisations that handle personal data digitally: tell people clearly what is collected and why, ask for consent for that purpose, collect only what the purpose needs, keep it secure, and let people access, correct or erase their data. Compliance is being phased in, so some obligations may not yet be in force; the official notifications give the current position. A careful owner or manager will already work this way, and it is reasonable to ask.

Common questions

Do I have to give my Aadhaar to rent a flat?

Aadhaar is one of several identity documents an owner may accept. If you would rather not share the full number, offer a masked Aadhaar or another government photo ID, such as a passport or a driving licence, and ask what the owner or manager actually needs it for.

Should I hand over my original documents?

No. Show originals so that copies can be checked against them, then keep them. A genuine owner or manager needs copies, not your passport, certificates or cards.
